More Than a Front Desk Position
The Front Desk Coordinator plays a vital role in the overall patient experience. As often the first and last person a patient interacts with, you'll help create an environment where patients feel welcomed, valued, and cared for.
You'll help patients navigate their care, communicate with the clinical team, understand their financial responsibilities, and stay engaged with their health goals. You'll build relationships over time, celebrate patient progress, encourage them when needed, and help them understand the importance of consistency, following their care plan, long-term wellness, and maintenance care.
What You'll Do
Patient Experience & Relationships
- Welcome patients and create an exceptional experience from check-in through check-out.
- Build genuine relationships and make patients feel known and cared for.
- Coordinate patient flow between the Doctor, Rehab team, and Front Desk.
- Help patients understand and stay engaged with recommended care plans.
- Address questions and concerns with professionalism and empathy.
Administrative & Financial Responsibilities
- Verify insurance benefits and eligibility.
- Create and maintain patient financial worksheets.
- Review financial responsibilities and collect patient charges.
- Maintain accurate patient accounts and confidential records.
- Obtain and update personal, insurance, and financial information.
- Process and follow up on third-party insurance claims.
- Scan and organize insurance EOBs.
- Maintain office inventory and supplies.
Practice Growth & Marketing
- Assist with marketing campaigns, promotional communications, and social media content.
- Participate in community outreach and relationship-building opportunities.
- Contribute ideas that improve the patient experience and strengthen the practice.
- Support patient retention and continued engagement.
- Look for opportunities to help the clinic grow—not simply complete assigned tasks.
Team & Culture
- Work collaboratively to keep the clinic clean, organized, and welcoming.
- Jump in and help wherever needed.
- Communicate openly and respectfully with teammates.
- Participate in team meetings, training, and continuing education.
- Take responsibility, learn from mistakes, and continually improve.
- Protect patient privacy and maintain HIPAA confidentiality.
What We're Looking For
- Previous customer service experience required.
- Healthcare, chiropractic, physical therapy, fitness, or wellness experience is a plus.
- Strong communication and interpersonal skills.
- Excellent phone and computer skills.
- Proficiency with Microsoft Office/Windows.
- Ability to learn practice management and other software systems.
- Strong organization and attention to detail.
- Ability to handle confidential information appropriately.
- Positive, energetic, team-oriented attitude.
- Two-year degree or higher preferred, but not required.
